PFATC Bot Privacy Policy

This Privacy Policy explains how PFATC ("PFATC", "we", "us", or "our") processes information through the PFATC Discord bot ("the Bot").

The Bot is used within PFATC's Discord community to link Discord accounts with Roblox accounts and to provide PFATC's rating and endorsement system.

1. Information We Collect

The Bot stores only the information necessary to provide its functionality.

This includes:

• Your Discord User ID;
• Your Roblox User ID;
• The association between your Discord User ID and Roblox User ID;
• Ratings associated with your Roblox User ID;
• Endorsements associated with your Roblox User ID.

The Bot does not permanently store your Roblox username. Where a Roblox username is required, it may be retrieved from Roblox using your Roblox User ID.

We do not intentionally collect or store information such as your real name, email address, postal address, telephone number, payment information, or other information unrelated to the Bot's functionality.

2. How We Use Your Information

We use the information collected by the Bot solely to operate and maintain PFATC's Discord and Roblox systems.

This includes:

• Linking your Discord account to your Roblox account;
• Verifying the Roblox account associated with a Discord account;
• Identifying the correct Roblox account when processing ratings and endorsements;
• Displaying Roblox account information where required by the Bot;
• Maintaining the integrity and functionality of PFATC's rating and endorsement system;
• Preventing abuse or manipulation of the Bot's systems.

We do not use this information for advertising, profiling, or unrelated purposes.

3. Ratings and Endorsements

Ratings and endorsements are associated solely with the relevant Roblox User ID.

Ratings and endorsements are not stored against, or associated with, the Discord User ID used to submit or receive them.

As a result, unlinking a Discord account from a Roblox account does not remove ratings or endorsements associated with that Roblox account.

This allows the rating and endorsement history to remain associated with the Roblox account independently of its current Discord account association.

4. Account Linking and Unlinking

When you link your Discord and Roblox accounts, the Bot stores the Discord User ID and Roblox User ID together so that the two accounts can be associated.

When you unlink your accounts, the stored association between your Discord User ID and Roblox User ID is deleted.

Deleting this association does not delete ratings or endorsements associated with the Roblox User ID, as these are maintained independently of the Discord account association.

5. Legal Basis

Where UK data protection law applies, PFATC processes this information on the basis of legitimate interests, where applicable.

PFATC's legitimate interest is operating and administering its Discord and Roblox community systems, including account linking, ratings and endorsements.

The information processed is limited to what is reasonably necessary for these purposes.

6. How We Store Your Information

The information collected by the Bot is stored in a MySQL database used to operate the Bot and its associated systems.

Access to this database is restricted to authorised individuals within PFATC who require access to operate, maintain, secure, or administer the relevant systems.

PFATC takes reasonable technical and organisational measures to protect the information stored within its systems against unauthorised access, alteration, disclosure, or destruction.

7. Sharing of Information

PFATC does **not sell, rent, or otherwise share the information collected by the Bot with organisations or individuals outside of PFATC for their own purposes.

Information may be accessed by authorised PFATC personnel where necessary to operate, maintain, secure, or administer the Bot and its associated systems.

The Bot may retrieve information from Roblox's services, such as a Roblox username corresponding to a Roblox User ID, when required for its functionality.

8. Data Retention

Discord-to-Roblox account-linking information is retained while the accounts are linked.

When an account is unlinked, the association between the Discord User ID and Roblox User ID is deleted.

Ratings and endorsements associated with a Roblox User ID may be retained after an account is unlinked because they form part of the historical record of PFATC's rating and endorsement system.

PFATC may retain information for longer where reasonably necessary to maintain security, prevent abuse, resolve disputes, or comply with a legal obligation.

9. Your Rights

Depending on the circumstances and applicable data protection law, you may have rights concerning the personal information PFATC holds about you.

These may include the right to:

• Request access to the information we hold about you;
• Request correction of inaccurate information;
• Request deletion of your information;
• Request restriction of processing;
• Object to processing based on legitimate interests;
• Request a copy of certain information in a portable format.

Some rights are subject to legal exceptions and may not apply in every circumstance.

10. Data Deletion Requests

You may request deletion of personal information held by PFATC.

Where an account is unlinked through the Bot, the stored association between your Discord User ID and Roblox User ID is automatically deleted.

Because ratings and endorsements are maintained against Roblox accounts rather than Discord accounts, unlinking does not automatically remove those records.

If you wish to make a specific request concerning ratings, endorsements, or other information associated with your Roblox account, please contact PFATC.

We may need to verify your identity or account ownership before fulfilling a request.

11. Changes to This Privacy Policy

PFATC may update this Privacy Policy from time to time to reflect changes to the Bot, its data practices, or applicable legal requirements.
